Office Coordinator

Requirements:

  • Office communication and administration
  • Host people that visit our office
  • Coordinate the flow of the office docs (paying special attention to financial ones) and upload them to designated systems if necessary
  • Manage manual office check-in/out hours ERP module
  • Translate documents if necessary (English – Polish / Polish – English)
  • Keep track of the office supplies and order them timely
  • Keep track of kitchen/catering supplies and order them timely
  • Manage and order supplies within the budget guidelines of the organization
  • Ensure that the entire office looks clean, tidy and representative
  • Especially take care of the common room areas (kitchen, reception, meeting rooms etc. should be clean and presentable)
  • Arrange for necessary repairs in the office
  • Coordinate the usage of the meeting rooms and ensure they are representative at all times
  • Coordinate special catering services (like with client visits, special meetings, office parties etc.)
  • Administration of different requests
  • Corporate travel arrangements if necessary
  • Provide the employees with necessary Visa Support, Covid-related travel information, etc., if necessary
  • Book flight tickets if necessary
  • Arrange travel insurance in necessary
  • Reserve hotels, transfers, rent cars, etc. if necessary
  • Helping to organize various company events, external and internal ones (in cooperation with the events team)
  • Recommendation and selection of venues
  • Recommendation and selection of entertainment (if necessary)
  • Arranging catering or booking restaurants
  • Reserve hotels, restaurants, local transportation etc. for company clients if necessary
  • Reserve abroad transfers for clients if necessary
  • Create a pleasant and welcoming environment for the clients and ensure they receive a pleasant and positive experience during their visits
